A checklist for planning a conference in Foz do Iguaçu: format, room blocks, meeting space, logistics and what to send Maestra in your RFP.
Planning a conference means answering three questions at once: where people will sit, where they’ll sleep and how they’ll get from one to the other. In Foz do Iguaçu, the Brazilian city on the Triple Frontier with Argentina and Paraguay, there’s a fourth: what attendees do outside the sessions, in a destination that has Iguazu Falls. This checklist puts the decisions in the order you need to make them and shows how Maestra, the event and convention center at Recanto Cataratas, handles each step.
1. Define the event before choosing the venue
Before you request a proposal, be clear on:
- expected attendance and audience: members, clients, internal teams, international attendees;
- plenary setup: theater, classroom, banquet, cocktail, U-shape or boardroom. The same room’s capacity changes a lot from one setup to another;
- how many breakout sessions will run in parallel, and how long each block lasts;
- space for registration, exhibitors and coffee breaks;
- backup dates in case your first choice isn’t available.
With that in hand, your conversations with any venue are specific and the proposals you get are comparable.
2. Rooms and sessions at the same address
When attendees sleep in one hotel and meet somewhere else, the budget picks up shuttles, bus schedules and late starts every morning. At Recanto Cataratas, Maestra shares an address with a resort of 501 rooms and suites. The event center is separate from the guest room area, which keeps conference traffic apart from leisure guests.
For your room block, decide early how many attendees will stay on site, how many nights, and your policy for companions. Speakers and executives can stay in upgraded categories such as the Suíte Master or Suíte Premium in the Prime Wing.
3. Meeting space: plenary, breakouts and foyers
Maestra has more than 40 meeting rooms and foyers, and the rooms are modular: they can be combined or divided to fit the program, even mid-event. The venue has two parts:
- Maestra Grand Convention Center: the Sonata ballroom and foyer on the ground floor; on the lower level, the Minueto, Prelúdio, Cantata, Canon and Tocata 1–12 rooms, with foyers.
- Maestra Business Theater: VIP 1, VIP 2, Smart Office 1 and 2 and Vivace on the ground floor; Adagio, Allegro and Presto on the lower level.
In practice, your plenary, parallel sessions, board meetings and organizer’s office all fit in one complex. Ask the team for floor plans with each room’s capacity by setup. Maestra is part of the resort’s 2025–2026 investment plan, which set aside R$ 40 million for its event facilities.
4. Arrivals, catering and time outside the sessions
- Arrivals: Foz do Iguaçu has an international airport (IGU). Work out transfers for arriving and departing flights with the events team.
- Catering: plan coffee breaks, lunches and dinners. The resort’s kitchen covers regional, Brazilian and international food; note in your proposal request whether you’ll need private meals.
- Companions and incentives: Iguazu Falls, the Parque das Aves bird park and Itaipu Dam fit into a free afternoon or the day after closing. On site, there are thermal pools, the Java Jiwa SPA and the Entertainment Plaza for evenings.
- International audience: Foz do Iguaçu borders Puerto Iguazú, Argentina, and Ciudad del Este, Paraguay. For events with attendees from those countries, plan materials and signage in Spanish as well as Portuguese.
